We offer a number of methods to fund your payroll and payments. Each option has advantages and you can select the one that best fits your business. 

 
 
 

Pre-authorized debit 

Our most popular option is 'pre-authorized debit'. With this method, we automatically debit your company / source bank account for your payroll/payment obligations and then make payments on your behalf to your staff and vendors.  Using this option requires a payment submission to be completed 3-4-5 business days in advance of the payment date depending on your plan type, bank or business 

Lead Times for Pre-authorized debit 

3 Day

Plan Types- Business Plus, Freshbooks Plus, Accountant Advanced and EVOLV 

Banks- All banks except Scotiabank, National Bank, HSBC, First Nations Bank of Canada, all credit unions and ATB 

Business- All business except those in the Cannabis Industry 

4 Day 

Plan Type: Legacy Business 22, Business Basic, Freshbooks Green and all clients with plan type eligible for 3 day but banking with National Bank, HSBC, First Nations Bank of Canada, and any credit union

Banks- All banks except ATB and ScotiaBank

Business- All business except those in the Cannabis Industry 

5 day 

Plan Type: ANY 

Bank: ATB, ScotiaBank

Business- Cannabis Industry

Once setup, we'll update your payments profile and enter the details of your source bank account: 

 

Need to Change Bank Accounts? 

No Problem, just go to SETTINGS>COMPANY PROFILE>PAYMENTS PROFILE and click to +Add (new application fee will apply) 

Need to Change Max Amount? 

Go to SETTINGS>COMPANY PROFILE>PAYMENTS PROFILE and click Download PAD. Please modify the max amount, initial it and send it to us via the upload link in your account under Help ?>Contact Us.

*Some older accounts may not have a download option.  If you need a copy of the PAD, please email support@paymentevolution.com and we can provide you with one. 

 

Bill payment 

If you have bill payment features in your online business banking service, you can send us the funds for your pay run.  You'll need to fund your pay run at least 2 business days prior to the payment date by 3:30 EST. 

Bill Payment is automatically active on all accounts with ePayAdditional fee applies for this service. 

*Pro-tip: while almost all banks in Canada show PaymentEvolution (Corp) as a payee, double check in your online banking prior to using this option in a pay run. 

How to Use Bill Payment 

To use the Bill Payment feature please follow all instructions below: 

  1. 1. On the PAYMENTS page of the pay run select BILL PAYMENT in the Bank information field. 

  1. 2. Then change the Employee Payment Date if needed. 

  1. 3. On the pop up on finalization you will be notified of the amount you need to send. You can also get this on your EPAY Direct Deposit report after finalizing. Please make note of that amount. 

  1. You MUST go and login to your online banking and SEND the funds to us.  

  1. Login to your online banking and navigate to your bill pay section. 

  1. Add PaymentEvolution (Corp) as a Payee 
    Payee: PaymentEvolution (Corp.) 
    Account number: Go to SETTINGS>COMPANY PROFILE>PAYMENTS PROFILE.  Select Bill Payment and refer to the bottom of the screen.  You’ll note that regardless of the bank name all account numbers are the same 
    *don’t worry if your bank isn’t listed, bill payment is available through almost every bank in Canada. 

  1. Send the funds from step 3 

 

Wire transfers

If you do not have 'bill payment' facilities or need to send us funds from international banks, you can use our wire payment option. With this method you should fund your payroll at least 2 business days in advance of the payment date.  Wire is available on all accounts with ePay. You can also set this to be your default payment type. Additional fee applies for this service. 

How to use Wire 

 To use the Wire feature please follow all instructions below: 

  1. 1. On the PAYMENTS page of the pay run select Wire in the Bank information field. 

  1. 2. Then change the Employee Payment Date if needed. 

  1. 3. On the pop up on finalization you will be notified of the amount you need to send. You can also get this on your EPAY Direct Deposit report after finalizing. Please make note of that amount. 

  1. Contact your bank for how to send a wire (in person or online) 

  1. Wire  Details: Go to SETTINGS>COMPANY PROFILE>PAYMENTS PROFILE.  Select Wire and refer to the bottom of the screen.   

  1. Send the funds from step 3 

**If you are sending a wire in US fund to our US account, please contact support@paymentevolution.com for wire instructions as they will differ from the CDN ones.  

*New- Interac etransfer available for wire payment up to $25,000 for next day payment. See HERE for more information (ePay must be active).

 

Interac e-Transfer

For smaller payments requiring up to next-day turnaround, PaymentEvolution is proud to provide Interac e-Transfer as a funding option. With this option, you can run payroll and send the funds up until 10:30AM EST the business day before your desired payment date. e-Transfer is available on all accounts with ePay. Additional fees apply for this service.

How to use Interac e-Transfer

  1. On the PAYMENTS page of the pay run select Wire in the Bank information field. 

  1. Then change the Employee Payment Date if needed. 

  1. On the pop up on finalization you will be notified of the amount you need to send. You can also get this on your EPAY Direct Deposit report after finalizing. Please make note of that amount. 

  2. Ensure your bank allows you to make etransfers up to the required amount you will need to send. Reminder that the max is $25,000, but your bank may have a lower limit for your account. You can contact your bank and request a higher limit if required.

  3. Use the email: funding@paymentevolution.com to send funds. Enter your account number in the notes field.
